1. Overview
Ascentry Learning LLC ("Ascentry," "we," "us") provides online course-building and training-tracking software for businesses. This policy explains what information we collect, how we use it, and the choices you have — whether you're visiting our website, signing up as a customer, or filling out our contact form.
If your employer uses Ascentry to run training and you're taking a course as an employee, a separate note in section 3 applies to you specifically — your employer, not Ascentry, is who to contact about your personal data first.
2. Information we collect
Information you give us directly, such as when you fill out our contact form, request a demo, or create an account:
Name, email address, company name, and phone number
Anything you write to us in a message or support request
Billing and account information, if you become a customer
Information collected automatically when you visit our website:
Browser type, device type, and general location (city/region level)
Pages visited, time on site, and referring website
Cookies and similar technologies (see section 5)
3. Data we process on behalf of our customers
When a business uses Ascentry to run training, we process personal data about that business's employees — names, email addresses, course activity, quiz results, and completion records — strictly as instructed by that business. In this relationship, the business is the "data controller" and Ascentry acts as a "data processor" or "service provider."
If you're an employee whose employer uses Ascentry, we collect and use your training data only to provide the service to your employer. We don't use it for our own marketing, and we don't sell it. Questions about your data in this context should generally go to your employer first; they can reach us to request access, correction, or deletion on your behalf.
4. How we use information
We use the information above to:
Provide, operate, and improve the Ascentry platform
Respond to inquiries and provide customer support
Send account-related communications (billing, service updates, security notices)
With your consent, send product updates or marketing communications, which you can opt out of at any time
Monitor for security issues, fraud, and misuse of the platform
Comply with legal obligations
5. Cookies & tracking technologies
We use cookies and similar technologies to keep you signed in, remember your preferences, and understand how visitors use our site. [Confirm which analytics tool you'll use — e.g., Google Analytics, Plausible, Fathom — and update this section accordingly.] You can control cookies through your browser settings; disabling them may affect how parts of the site or platform function.
6. How we share information
We don't sell your personal information. We share it only in these situations:
Service providers: companies that help us run Ascentry, such as cloud hosting, email delivery, and payment processing. [Squarespace, Google, Stripe] These providers may only use the data to perform services for us.
Legal reasons: if required by law, subpoena, or legal process, or to protect the rights, property, or safety of Ascentry, our customers, or others.
Business transfers: if Ascentry is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this policy or a successor policy.
7. Data retention
We keep personal information for as long as needed to provide the service, comply with legal obligations, resolve disputes, and enforce our agreements. Customer training and completion records are generally retained for the length of the customer's account plus [X], after which they're deleted or anonymized, unless a longer period is required by law or requested by the customer for compliance recordkeeping.
8. Security
We use reasonable administrative, technical, and physical safeguards to protect personal information. No system is completely secure, and we can't guarantee absolute security, but we work to keep information protected and to respond quickly if something goes wrong.
9. Your rights & choices
Depending on where you live, you may have the right to access, correct, delete, or export your personal information, or to opt out of certain uses of it. To make a request, contact us using the details in section 13. If you're an employee using Ascentry through your employer's account, we'll typically direct your request to your employer, since they control that data.
10. Children's privacy
Ascentry is intended for business use and is not directed at children. We don't knowingly collect personal information from anyone under 16. If you believe a child has provided us with personal information, contact us and we'll delete it.
11. Changes to this policy
We may update this policy from time to time. If we make material changes, we'll update the "last updated" date above and, where appropriate, notify customers directly.
